General Terms and Conditions of Hire

  1. Quotes and invoices are valid for a period of 14 days from date of issue, or while stocks last.
  2. Booking is only confirmed upon payment of the full rental amount stated on the quote or invoice, unless otherwise agreed in writing.
  3. All equipment is due back by 12h00 on the agreed day of return excepting Sundays, in which case return will be by 12h00 on Monday. Bookings which end on a Sunday but are returned on Monday morning do not incur extra charge.
    • Equipment cannot be hired out to the next client without having been cleaned first. Return times may be relaxed in some cases during non-peak times, but during peak rental times the return time will be strictly enforced.
  4. Bookings over long weekends may be subject to a minimum booking period of 2 nights.
  5. Proof of identification must be provided upon collection of rented equipment. Equipment will not be handed over without a copy of the hirer’s green ID book, smart ID card, South African driver’s license or passport. Proof of Residence may be requested for large orders.
  6. CAMP Tent Hire is not responsible for any loss, consequential loss, damage or injury caused in the erection or use of equipment.
  7. In the event that CAMP Tent Hire commences a special pricing campaign or similar after a booking has been confirmed, no discounts shall be given retrospectively.
  8. No discounts or refunds shall be given for early return, late collection or non-collection of equipment.
  9. Please note the following rules regarding use of the equipment:
    • NO SMOKING inside the tents.
    • NO COOKING inside the main (dome) tents.
    • NO FIRES OR GAS are to be used inside the tents. Only electric lighting may be used.
    • Please avoid erecting the tents on rocky ground, ground with dropped thorns from trees, exposed tree roots, etc. This does damage the groundsheet.
    • Please make sure that equipment is not used close to open fires.
    • No use of gas stoves on plastic tables
  10. Payments can be made by card or via electronic transfer. We can no longer accept cash for rental payments.
  11. By default, collections and returns are scheduled during our standard office hours as displayed on our website, Google and Facebook. Collections and returns after office hours may incur additional charges.
  12. CAMP Tent Hire staff may assist in the loading of equipment into vehicles and trailers, however it is the responsibility of the client or driver to ensure safe and secure loading before leaving.
  13. Neither CAMP Tent Hire nor its employees will be held responsible for any damage to trailers or vehicles during the loading and/or unloading process.
  14. The customer will be required to sign a loading list or invoice once the equipment has been handed over from CAMP Tent Hire to the customer, confirming that all booked equipment has been handed over. It remains the customer’s responsibility to confirm that the correct equipment has been received.
  15. CAMP Tent Hire reserves the right to deny parties from hiring equipment if CAMP Tent Hire deems them to be a risk to the business or its equipment.
  16. CAMP Tent Hire reserves the right to alter these Terms and Conditions at any point without prior notice.

Cancellations and refunds

  1. In the case of a cancellation or moving of a booking, the following will apply:
    • If the booking is moved (before the original collection date) without the payment being refunded, there shall be no penalty. This is however subject to availability of equipment for the new date. Please note we cannot hold rental fees (as a result of booking postponement) crossing the end of February, due to the company’s financial year-end.
    • If the cancellation is made more than 48 hours before the scheduled booking date, 50% of the equipment hire amount will be refunded. The full damage deposit will be refunded.
    • If the cancellation is made less than 48 hours before the scheduled hire date, only the damage deposit will be refunded. The full hire amount will be forfeited.
  2. In line with 1.1. above, any rental fees still held by CAMP Tent Hire as at 28 February of each year as a result of booking postponement must either be returned to the customer (subject to the cancellation notice given) or shall be forfeited.
  3. In the event that a booking is postponed to a new date less than 48 hours in advance and is subsequently cancelled, only the refundable damage deposit shall be refunded, even if the cancellation of the “new” booking is made more than 48 hours in advance.
  4. If the client fails to collect their booked equipment without notifying CAMP Tent Hire in writing, this shall be considered a cancellation.

Refundable damage deposits

  1. The damage deposit noted on the invoice is fully refundable after the return of the equipment in good order.
  2. The damage deposit will only be returned after all equipment has been checked thoroughly by CAMP Tent Hire.
  3. The damage deposit will be returned to the customer’s bank account or credit card, depending on the method the customer used to pay for the booking.
  4. Some of the deposit may be deducted in the following cases:
    • if the equipment is damaged
    • if the equipment requires unusual cleaning
    • if the equipment is returned after the agreed-upon time or date or standard office hours
    • if CTH staff are required to perform a service that was not part of the original invoice (eg. equipment setup or breakdown)
    • if some equipment is returned on time but other equipment is delayed in being returned, the delayed equipment will be charged for at the standard rental rate.
  5. The intention of the refundable damage deposit is primarily to remedy damages. The damage deposit may not necessarily be sufficient to replace lost or stolen items in their entirety. In the case of loss or theft of an item/s, the hirer shall be liable for the replacement of said item, and may be required to pay the balance of the replacement amount should this be greater than the value of the damage deposit.
  6. In the case of lost or stolen equipment, the equipment shall be deemed to still be under rental until such a time as CAMP Tent Hire receives payment for the replacement equipment. This means that the renter shall be liable for any additional rental amounts due for the missing equipment up until the receipt by CAMP Tent Hire of the money for the replacement of the missing equipment.
